Word
Processors (WP) are very good at printing labels so hontreasurer.com
does not
attempt to re-invent the wheel. The basic method is to get all the
Members (Contacts) who require mail to the list on the Members tab;
create a report showing the names & addresses; export this report
to a tab-separated file. Then you can either use this file as a
datasource for WP label function or import into a Spreadsheet and use
that as the datasource.

Decide how to tag the sets
of people
who you might want to mail (also applies to email). You can use the
search criteria on the Members list to create exactly the list you want
but the main fields to use are the Status and the Label1, Label2 &
Label3 fields. A good basic scheme is to allocate a letter to each
criterion (e.g. L = Lefthanded, B = blue-eyed, R = brown-eyed, D =
qualfied driver) and enters these in the Label1 field on the Member Edit screen (e.g. John
Wellington has D - he is a driver but the others are unknown).

Search

The search on the Members tab allows you to
find Members which have any given letters (or numbers) in the label
fields. So, in the above example, to find Lefthanded Drivers, put LD
into Label1 field and press return. To find Members who are not
Drivers, put D in the Label1 field and click the NOT checkbox. |

When you are happy with
the list,
press "Export Addresses" and the system will show a window with all the
names and addresses. Then use Report/Export from that Window; choose
"Tab Separated" (key action) and press "OK". You will then be invited
to choose/input a filename. The screen will depend on the type of
computer you are using. Choose a memorable name (Address-List) and give
it the extension .csv e.g. Address-List.csv. It is usually best to
overwrite the list each time because information will go out of date if
the information in Promrose changes. But make sure the file has been
updated before using it for labels. The first line of the file will
have the headings for each column - First Name, Surname, AddressLine1,
etc.

Use your WP program to
print labels
or form letters (form letters with window envelopes are easier to
handle) and specify your address file as the source of the data. Refer
to your WP program for further information.
