This
is a very wide topic, but there is a "takeon" program in
hontreasurer.com which
is comprehensive. It may be better used by hontreasurer.com support
unless
you are very confident with text files. It can be used to add Contacts,
add fields to a Contact or change existing data on existing Contacts.
|
Which
fields can I take on?
|
Surname, Firstname,
Address Line 1, Address Line 2, Address Line 3, Postcode, Home
Telephone, Work Telephone, Mobile Telephone, email, Notes, Label Field
1, Label Field 2, Label Field 3 and all "extra" fields. It is
compulsory to have a Surname.
|
What
format does the file have to be in?
|
The first line should be
the field names separated by a space or tab. The data should appear one
record per line. The fields may be in any order. Fields should be
separated by spaces or tab. Fields with spaces (such as address lines)
should have double-quotes (") round. Yes/No fields such as Gift Aid and
the extra Yes/No fields should start with Y is you want the box ticked.
|
How
does it work?
|
First, the filename is
specified and the "Set Filename" button presssed. Then the "Fill"
button is pressed which reads all the data into the table using the
first line in the file for headings.
It then puts up three options above each column:
Replace or Add To
which tells the takeon whether to replace the field in the database or
add to the end of it (useful for Notes & email addresses).
Fieldname which
tells the takeon which field to use. This also has an ignore option. One column must have
"Surname" chosen.
Separator which
tells the takeon which separator (; or ,) to use if adding to a field.
A separator will not be used if there is no existing value.
When all the above have been set, press "Save" and the takeon will go
through the database looking for a match of the Surname. If one or more
are found in the database already, these are offered until the user
selects one. If none are selected, the choice of adding is offered. If
one is selected, the takeon goes through all the fields offering the
user the choice of replacing the existing field with the one in the
file.
