Panel

The
Member Panel is opened by
choosing Members/Show Member List from the main menu.
|
| Search
& Selection |
The
top part of the panel comprises 7 selection criteria. When any one of
these is changed, the list below is updated to reflect the selection.
ALL the selections made are applied. Some have a button called
"Select". When a select button is pressed,
all the choices are shown and can be selected one at a time by holding
down the Control key. Alternatively, All can be selected and items can
then be unselected one at a time by holding down the Control key. The
All button toggles between selecting all items and no items, but after
All is pressed all items are always shown on the Transaction screen.
When not all items are selected, the "Select" button turns blue as a
reminder. |
Text
Search
|
The
text search works on most fields on the Member record. So, for example,
you can find a member by the address by typing part on the address in
the text field and pressing "Enter". If you want to restrict the search
to a single field, e.g. PostCode, select the field from the list on the
right of the search box.

"Sounds
like"
|
Check
this box if you are not sure of the spelling of a surname. The search
will then use the "soundex" system to match with like sounding surnames.
|
Status
|
Members
can have a "Deleted" status - to exclude these from the list, check the
"Exclude Deleted" box.
|
Exclude
Members with email
|
Check
this box if you have sent an email to everyone on the list but you want
to print labels for everyone else. The system removes everyone with an
email from the list. You can then use Export Addresses to print labels
for the remainder - see also FAQ:
Address Labels.

to exclude all Members whose Address is missing (i.e. Address Line 1 is
blank)

Exclude
Deleted
|
Members
(Contacts) who have been deleted may not actually have been deleted but
have had their status set to Deleted. This happens when there are still
financial transactions on the database relating to that Member
(Contact). You can exclude all these from the list by pressing Exclude
Deleted (which is the default). To include these, uncheck the box.

New/Changed
in the last ? days
|
If you want to see
contacts who have had changes made recently, enter a number of days in
the box and press Enter. To see the changes, press Edit and review the
list of change dates on the bottom right of the screen.

Label
Fields
|
There
are three label fields on each Member record which can be used for
selection. They work like this: a member will be shown if any letter
you type in the Label selection field appears in the corresonding
Member's Label field. Remember to press the Search button or the
"Enter" key after entering the letter. So, for example, if you type S
in Label1 and
press Search or the "Enter" key, any member having the letter S
anywhere in the Label1
field will be shown. When ANY OF is showing, if you type SG, contacts
who have S OR G will be
retrieved. If you choose ALL OF form the list on the left of the box,
contact who have S AND G will be retrieved. If you choose NONE OF from
the list on the left of the box, contacts having neither S nor G are
retrieved. This is a very useful feature for selecting Members for
emailing and/or address lists.
If you put a letter in two Label fields (e.g. Label1 is F and Label2 is
X), the system will list Members who have BOTH and F in Label1 AND an X
in Label2.

Save
& Restore Selections
|
You
may save the current selection by pressing "Save Selection" and restore
it by pressing "Restore Selections". The current saved selection will
be restored if the Members Panel is closed and opened again, even if
the system has been restarted meanwhile.
