Posting Transactions - General
< Previous Page Next Page >
"Posting"
Entering transactions into hontreasurer.com is called "posting". Every type of transaction has a similar posting screen but there are variations because not all transactions require the same information. For example, transfers between accounts require the two accounts to transfer between, but receipts generally only require one account.
Finding the Right Screen
There are two ways into every posting screen. Either choose Transactions off the main menu and then the appropriate subdivision (e.g. Receipts), or press the Add button from the Transactions List which will cause all the Transaction Types to be listed.
Posting Each transaction type has some items which are fixed (unchangeable), some items which are mandatory (which you must supply) and some optional items. In addition, some of the checks which are made before the posting is accepted can be altered by the administrator using the Preferences/Transaction Entry/Edit Checks application.
Fixed Values
If there are fixed values for a transaction type, they are "greyed out" which means you can see them but they are inaccessible. If you think you should be supplying a different value, then you may be using the wrong application. Examples are "Transfers Between Accounts" which has the Member/Trader fixed as "Treasurer" and the Activity fixed as "Transfers Between Accounts".
Mandatory Values
The Date is always mandatory and defaults to today's date. The Member/Trader and Activity are also mandatory but sometimes these are fixed values so you do not have to supply them (e.g. Transfers between Accounts). The Cheque number (for Cheques Written), Payin Number (for Cheques received) are also example of mandatory fields.
Lists
Members (Contacts), Activities and Accounts are chosen from lists. These lists operate on a predictive typing basis as well as a point and click. If you type the first few letters of the name you are looking for, the list will find the corresponding entry if there is one. In the case of Activities, there is an option to restrict the list to a given year which means that the names are not duplicated. This can save alot of searching. For Members (Contacts)  and Activities, there are options to Add, Edit and Add Like an entry if the required entry is missing.
Optional Fields The Receipt Number is an example of an optional field.
