What is a Model?
The model is the set of concepts on which the hontreasurer.com system is built. It is not necessary to understand all this information, but it can be useful when considering whether hontreasurer.com is suitable for a particular set of circumstances. To help you visualise it, the equivalent when using handwritten account books is given in italics.
Accounts
Accounts can be either Bank Accounts or Cash Accounts. There can be any number of accounts of each type in the system. The Bluebell and Foxglove models extend accounts to Debtors, Creditors, Fixed Assets etc. Accounts are equivalent to a pair of cash books, for example income and expenditure (or receipts and payments).
Activities
Activities are the headings under which the Receipts and Payments are entered. Each Activity may or may not be valid for any given Financial Year. Activities are equivalent to the analysis columns in a cash book or purchase or sales daybook. In hontreasurer.com, though, there can be many more than would fit across one page of a standard cash analysis book.
Members/Contacts Members, or Contacts, are the people or organisations the system recognises. All transactions belong to one Member or Contact. There is no distinction in hontreasurer.com between Customers, Suppliers, Members etc except the Status that they are allocated. Members, or Contacts, are equivalent to what is written in the first column of a cash book (after the date) - i.e. the person to whom money was paid or who it was received from. But these lists also replace the manual or electronic address and email lists which would be kept by the Membership Secretary.
Financial Years
There can be any number of Financial Years, any of which may be open. Old years may be closed for increased performance. Financial Years are not divided into Periods but reporting may be done by date range. Manual books are normally ruled off after each month and year and totalled. In hontreasurer.com, all the totalling is done automatically but the financial years need to be kept separate for audit purposes.
Transactions Every Transaction belongs to:
- an Account,
- an Activity,
- a Member/Contact,
- a Financial Year, and, optionally,
- a Fund.

Every Transaction also has a
- a Date,
- a Payment Type,
- an Amount,
- a Notes field with lots of space, and
- a reference number which, depending on the Account and type of Transaction, could be a Cheque Number, Payin Number, etc.

A transaction is equivalent to a line in a manual book. However, some transactions, for example Account Transfer from Current to Deposit account, appear as one in hontreasurer.com where there would  be one in each book in a manual system.
