This requirement is now catered for since the August 2007 release.

It is possible to set the Accounting Category on Accounts and Activities to No Accounting Category. Such accounts and activities are "memorandum" and will be left out of any report which goes by Accounting Category but will be included on reports which go by account or activity. So on the main Balance and Movement tabs, when the Accounting Category button is pressed (it is the default), these accounts and activities will be excluded.

There are two main uses of this feature:

1. To carry out "off-ledger" invoicing. This is useful where the invoice is provisional or informal and the accounts are done on a cash basis. To do this, set the Debtors account to "No Accounting Category" on the accounts edit screen and create suitable activities without an Accounting Category. Put in the invoices and print them using the Document Print option. When a payment is allocated to such an invoice in Cash or Cheque received, the (memorandum) Debtors account is credited but the payment goes into the cash account as a new activity which DOES HAVE an Accounting Category. The system will not let a posting happen where the activity does have an Accounting Category and the account doesn't - otherwise the ledger would go out of balance. But the system does provide the facility to credit a memorandum account and a bank account in the same posting.

2. To record "attendance". This is very similar to off-ledger invoicing - sometimes it is off-ledger invoicing if there is a charge or cost involved - and should be set up in the same way. However, the Amount on a transaction can be zero, in which case the transaction will just show the date, activity and contact (member) which can be useful for statistical analysis. Or the Amount can be used for another purpose such as number of hours, which will then be reported by the system in the amount field.

A new feature is under consideration which is to allow this type of posting from a browser (such as Internet Explorer). This is to allow data entry from public computers which only allow browsers. Is this if any interest?
