What can I do with Contacts on hontreasurer.com?

These are the things you can do with Contacts on hontreasurer.com. We call them Contacts here but you may be calling them Members. It may not be the full list because features are being added all the time.
Contacts

Having sufficient authority, users may Add, Edit and Delete Contacts which have the following fields:
  • First name and last name
  • Home, Office and Mobile Telephone numbers
  • Fax number
  • email address(es)
  • Address and Postcode
  • Status (see opposite)
  • Bank Details Held (adds Contact to list of contacts appearing in the Direct Bank Transfer entry option)
In addition there are four extra text fields, four extra Yes/No type fields, and an extra choice list. You can use these for recording whatever you like, and if they are numeric fields, the system will optionally show total, average. minimum, maximum and Standard Deviation values.
Contact Status

Statuses are a fixed and alternative list of values for each Contact i.e. Member, Chairman, Committee, etc. Users with sufficient authority may add new values and edit descriptions

Contact on an Activity

A very advanced featuere of hontreasurer.com is to keep informationn about a Contact and Activity. So for example, if running annual courses or events, the booking status can be kept against each course and year for each contact.
Viewing Contacts

On the Contacts list:
  • view Contacts with selection on any or all of the following: Text anywhere in the contact or in a specified field, Status, with or without "deleted" contacts, with or without email addresses (see also Labels below)
  • change the view to show either: phone numbers and email; address and postcode; or label field values
  • change the order of the columns and/or the width of the columns
  • sort the list into ascending or descending order, column by column (to get, for example Surname within Postcode)
  • further, the label fields allow the user to specify label field values to include or exclude from the list.
Reporting Contacts

The following reports are available:

  • Report all listed Contacts suitable for export to mailing or label software such as Microsoft Word or OpenOffice - this is available with addresses, phone numbers or both
  • Report all the details for one Contact
  • Report the extra fields for a contact
In addition, extra reports can be written tailored to an organsation and distributed automatically with your version of hontreasurer.com.

Selecting Contacts

Each contact has three "label" fields, each of which may contain up to 36 single letters, each letter representing a list. So there can be over 100 lists in all! There are a large number of options for manipulating the label fields of the selected Contacts:

  • Copy the whole of one label field to another
  • Copy a single letter value from one label field to another
  • Move a single letter value from one label field to another (deletes it in the from field)
  • Change a letter to another letter in a label field
  • Remove a letter from a label field
  • Setting a label from the current Contact or Transaction List.

With suitable authority, users may email either:
  • selected users (by using Ctrl & click or Shift & click to select from the listed users
  • all listed users
  • all users
