Whether you are already an Hon
Treasurer or Hon Secretary, or have just been appointed
(commiserations!), don't panic! Help is at hand!
SACS have created a system called Primrose which should be just the
thing you need to keep your sanity and save your time.
We have all been Hon Treasurers and Hon Secs. in our time and know the
problems which you face. They may include some or all of these:
- I don't want to go
back to manual bookkeeping
- I can't think how to
keep accounts on a spreadsheet effectively
- I don't want to
duplicate names, addresses and phone numbers between peoples' computers
- I don't want to
duplicate email addresses in different address books

which is "ring-fenced" for a specific use or uses and it is a nightmare
to keep track of it.
OK - we have the
answer. Primrose (and its associated flavours Foxglove & Bluebell)

functions of a major accounting system and of a membership system, but
it is aimed specifically at
you the Hon Treasurer or Hon Secretary
- We have put
all the operations into layman's terms, so when you receive a cheque
(check), for example, you should be looking for an option which says
"Cheque Received"

the data on a central server for you and you access it from wherever
you want, over the Internet
- The Hon Treasurer
can keep all the accounts for events, membership, fundraising with
multiple accounts (Current Accounts, Deposit Accounts, Cash tins, etc),
analyse by type of
expense and /or event, do the Bank Reconciliations, and report right up
to final account at the click of a mouse
- The Hon Secretary
can keep all membership records, send group emails and
produce address lists for labels, all by any criteria required
- Anyone who is
authorised can see the records
- Event organisers can
be given access to specific activities so that they can manage their
own payments and receipts
- Primrose installs
automatically on whatever computer you want, whether it is a PC or a
Mac, or runs Windows, MacOS, linux or Unix
- Primrose itself is
free, you pay only for us to keep the data (and small organisations go
free anyway) for as long as you want us to keep it, and it is very
reasonably priced
- Primrose will
happily
operate in any currency (well, any currency which has a main unit and,
optionally, a
subsidiary unit in tens or hundreds, and that's pretty much all of them)
- Primrose tracks
"Funds" within an overall scheme allowing ring-fenced money to be
properly accounted for.
